OK I had to tell someone how excited I am!! I did my report today that normally takes me like 3 hours and I got it done in 30 minutes!!! All because the database is cleaned up Debbie Moore has been a tremendous resource to the Cleveland Restoration Society. For the last year she has helped us build a powerful Raiser's Edge database for our development department. We use the system daily to manage all our donor and membership cultivation through our annual fund, membership and events. Debra Moore has been incredibly helpful to our organization over the years – she converted our Raisers Edge system to version 7, trained different staff members at different times on using Raisers Edge, set up protocols for long-term efficiency, and completed many special projects for us. So when we were merged with four other organizations, I knew exactly who to call to help us figure out what to do with all the data. Of the five organizations that were merging into one, we were the only agency using Raisers Edge. Three other agencies were using versions of Donor Perfect, and one agency built their own database from scratch. Even with three organizations using the same Donor Perfect program, they all used the system differently, kept track of different types of information, and had different systems of data entry – so these three databases were all completely different. I had called Blackbaud to see what they recommended, and they recommended using their data conversion services. That entailed sending all five databases to them, where they would run a standard conversion and dump everything into the Raisers Edge. We would not be able to help direct where the information went, assign any individual markers as to where the data originated, or try to change any of the fields or entries to be in a “language” that would make sense as a whole down the road. And this service would have a base price of $20,000.00, $5,000.00 for each database even though three were the same Donor Perfect system. This price did not include all of the modules that we had purchased, any training for new staff members that would be using Raisers Edge for the first time, or any “extras”, which were priced to be about $2,000.00 extra for each system. However, I called Debra and she was interested about the job. She came in and we made a game plan. I was able to write very specific instructions for the data conversion for each database, so that the data from each of the four systems to be converted would “match” our current Raisers Edge database as much as possible. For instance, if a Flag in a Donor Perfect said “Do Not Mail,” I was able to write instructions that Debra would use to change that field to be an Attribute in Raisers Edge that said “Mailing Status” would be “No Mail”. Working with Debra, I was able to tell her exactly where I wanted every single field in the four new different databases to be located in our Raisers Edge system. She also took on a tremendous clean-up job and cleaned up the information from these four databases before we dropped them into Raisers Edge. I can’t fully describe what a huge job that was – some of this data was 20 years old and had been subjected to horribly inconsistent data entry. In addition, she added gender to records, figured out our Addresses and Salutations to that they would be uniform, and added several markers in different parts of the records to indicate where each piece of data originated. This last piece of information has been incredibly helpful to our organization as we’ve moved forward with our Development work as a new, larger organization. Then when it came time to import the different databases, Debra came into our office and did this complicated piece of work herself. And when I noticed any kinds of problems – for instance Line 1 and Line 2 of an address showing up on the same line – she figured out the problem and fixed it on the spot. She imported 20,000 constituent records and 40,000 gift records into our Raisers Edge database and each piece of information ended up in the exact spot that we requested, and the information makes sense as a group, but can be broken out by former organization, region, campaign, fund, and appeal from each of the five different organizations. It is truly remarkable – it’s as if we had all been using the same system and the same data entry methods for as long as we’ve been using databases. It is truly remarkable. In addition, Debra came into our office and provided all users with three days of Raisers Edge training. 7 people who had never seen Raisers Edge before are now using the system to find the information they need, answers donors’ questions, and track their success. This was a huge job, but Debra Moore took it on enthusiastically. She understands the ins and outs of Raisers Edge like no one else and can think through solutions quickly and logically. She works quickly and brilliantly, and was able to accomplish this enormous task for half of what Blackbaud would have charged for a fraction of the services. Four months into our merger we have a consistent database and 8 staff members who are confident in using it to be more effective, efficient development officers. I highly recommend Debra Moore for any and all Raisers Edge projects.
